Outreach Hub Administrator

Position Summary:

This role supports all aspects of WCEL’s outreach efforts, with a focus on linking to Black/Indigenous/People of Color (BIPOC) and Limited English Proficiency (LEP) communities in Whatcom County and WCEL’s child find initiatives.  The role also supports our Early Learning Program (ELP) and Cordata-based departments, events, and general administration/staff needs. This position will be supervised by the Director of Development and Communications.

 

The Outreach Hub Administrator will work closely with our Executive Director, Director of Development and Communications, Director of Administration and Finance, and Early Learning Program Manager to support their work as needed.

 

Locations: Primarily at our Cordata location

Duties and Responsibilities:

  • Supports and enhances outreach efforts by linking with BIPOC and LEP families in Whatcom County to share information about WCEL services, programs, and opportunities, understand their needs and experiences

  • Supports the planning, hosting, reception, and implementation of child find activities; maintains and organizes outreach supplies

  • Supports Early Learning Program classes and other types of agency events

  • Assists the Executive Director with administrative needs, including the coordination of Board of Director events and meetings

  • Support the Development department in grant writing and outreach efforts, maintaining and building relationships with families, stakeholders, and community partners, and providing support to department events when needed 

  • Supports the general and specific administrative needs of agency staff at the Cordata location which include:
    ○    Maintaining a variety of records electronically and physically (including filing)
    ○    Updating relevant information across a variety of platforms
    ○    Supporting program data tracking and reporting including utilizing agency databases and spreadsheets to track and maintain child and family information
    ○    Improving and maintaining a system for program files, records and reports
    ○    Providing administrative support

  • Contributes their unique ideas, perspectives, and lived experiences to the culture of WCEL, when able, to enhance its richness and depth

  • Works on special projects as assigned; available for some evening and weekend flexibility, as needed

 

Skills and Abilities:

  • Works well under pressure to manage stressful situations

  • Flexible to meet scheduling needs and handle often unpredictable changes

  • Sound judgment and confidence

  • Ability to handle multiple tasks

  • Detail-oriented and accurate

  • Excellent communication skills including written, phone and in-person.

  • Database and spreadsheet experience.

  • Comfortable learning and using new software applications and databases

Education and Knowledge

  • Fluency in English

  • Preferred high competency of a second language (preferably Spanish, Ukrainian, Russian, or Punjabi)

  • Bachelor's degree or equivalent experience 4+ years in administrative positions

  • Familiarity and ability to work with diversity of cultural/socioeconomic backgrounds

  • Good interpersonal, organizational, and time-management skills

  • Knowledge of computer systems 

  • Highly proficient with a range of computer applications and technology, including Microsoft Teams, the Microsoft suite, and Zoom

  • Preferred basic knowledge of Canva

  • Preferred experience in development and grant writing

  • Reliable means to get to and from work each day, with the potential of having to travel to any of our three locations in a work day

Pay Range: $20-$27/ Salary/Non-Exempt

 

Schedule: Full-time/40 hours
