Operations Manager

Position Summary:

Working under the supervision of Director of Finance and Administration and as a key part of our Leadership Team, the Operations Manager supports the mission and vision of Whatcom Center for Early Learning by providing administrative supervision for operations as well as supporting early support program administration.  

Pay Range: $28-$32/hour, Salary/Non-exempt 

Schedule: Full-time, 8 hours, Monday-Friday

Locations: Ferndale with frequent work occurring at our Bellingham locations.

Duties and Responsibilities:​​

Leadership

  • Conducts regular meetings with the staff under the Operations Manager’s supervision, with a commitment to reflective supervision. 

  • Provides leadership and support to supervised staff. 

  • Communicates as appropriate, the efforts of supervisees to the leadership team as it informs decision-making. 

  • Brings operational perspective to leadership discussions and strategic planning. 

Project Management: 

  • Delegates tasks and responsibilities to the administrative team, to complete projects within schedule.  

  • Coordinates data tracking and reporting for cross department demands. 

  • Supports communication between the Tech & Data Specialist and the Facilities Maintenance Specialist and the administrative team and wider agency, to implement solutions and complete strategic goals. 

Program:  

  • Establishes effective communication channels with program leads to improve workflows. 

  • Oversees records and documentation are maintained in compliance with program requirements. 

  • Develops and improves systems and processes for efficient staff access to vital information while maintaining HIPAA and contract compliance. 

  • Manages agency equipment and inventories, delegating purchasing to the Office Administrator and Program Administrative Coordinator respectively. 

  • Tracking and supporting budgetary requirements pertaining to office administration and program inventories. 

 

General Office Duties:  

  • Oversees operational systems and office organization and maintenance. 

  • Supervises administration of systems for program files, records and reports.  

  • Contributes ideas, perspectives, and lived experiences to the culture of WCEL, with a goal to enhance its richness and depth.  

Skills and Abilities:

  • Excellent communication skills including written, phone and in-person.  

  • Database and spreadsheet experience and comfortability.  

  • Preferred experience using Adobe Acrobat DC and Microsoft Teams and Office 365.  

  • Comfortable learning and using new software applications and databases. 

  • Experience working with printers, scanners, fax machines and phone lines.  

  • Demonstrated project management skills. 

  • Experience supervising a team.  

  • A work ethic that includes being responsive, organized, and flexible to changing priorities.  

  • Ability to manage multiple projects and deadlines, with an attention to detail and accuracy.  

  • Demonstrated ability to cultivate relationships and work effectively and respectfully with individuals of diverse experience and perspectives.

Education and Knowledge:

  • B.A. in Business Administration or Project Management. A combination of education and operations and supervisory experience with increasing responsibility equaling four years can be substituted in lieu of the education requirement.
